GPUK 46 Fighter Application Privacy Notice

Last updated: 12 October 2026

This notice explains, in plain English, how Gladiator Promotions UK (GPUK) uses information from the GPUK 46 fighter application. Please read it before you apply. If something is unclear, contact us before you submit the form.

Who is responsible?

Gladiator Promotions UK, led by Ross Pointon, is responsible for the information collected through this application. Contact GPUK at gpuk2009@gmail.com, call 07921 861699, or use our contact page.

What information does the form collect?

The form may collect your name and contact details; age, sex, height, wingspan, weight and proposed weight class; gym and coach details; fight record, experience, previous shows and titles; fight footage or profile links; an optional YouTube walkout-music link; a fighter photo; event availability; equipment sizes; ticket-promotion estimates; emergency-contact details; parent or guardian details for a young fighter; and the names, confirmations and drawn signatures needed for the fighter agreement.

The form asks whether you need a private follow-up about a medical or safety matter. Your answer may reveal that you have a health concern. If you choose “Yes”, you ask GPUK to use that answer only to arrange private contact about the matter. The form does not ask you to enter medical details. Please do not type medical information into the form.

Why and on what basis do we use it?

  • Application and bout arrangements: to take steps you request before a possible bout agreement, and to carry out an agreement if a bout is accepted.
  • Running a safe and fair event: to review suitable matchups, check coach approval and sporting details, contact you or your coach, and manage event, equipment and safety arrangements. GPUK relies on its legitimate interests in organising the event safely and fairly.
  • Private follow-up: if you choose “Yes” to the medical or safety question, GPUK uses that answer only to arrange a private conversation. Do not submit medical details through this form. GPUK will explain the lawful basis and any special-category condition before asking for health details separately.
  • Optional publicity: GPUK uses your photo or video for public promotion only if you give separate permission. This choice does not affect whether your application is considered. You can withdraw permission for future use.

What may be shared with coaches?

To consider or arrange a possible matchup, GPUK may share only the non-medical details that the coaches involved need. This may include your name, age, height, weight or proposed weight class, rules class, fight record, experience, gym details and fighter photo.

GPUK does not share your medical or health details, your answer to the private medical follow-up question, emergency-contact details, parent or guardian contact details, email address, phone number, agreement signatures or your full application with other coaches. Your application and photo are not posted publicly.

Who else processes the information?

Authorised GPUK administrators can access the application to review and manage it. Website hosting and email providers process information for GPUK so the form can be stored and application receipts can be sent. GPUK does not sell application information or use it for unrelated advertising.

How long do we keep it?

GPUK does not use one fixed retention period for every record. We keep information only while it is needed for matching, event administration, safety and the purposes explained above. We review records and delete or securely anonymise them when they are no longer needed. Signed bout agreements and related records may be kept for longer where reasonably needed for insurance, safeguarding, a legal claim or another legal requirement.

Your choices and rights

You can ask GPUK for a copy of your information or ask us to correct it. Depending on the lawful basis, you may also be able to ask us to delete or restrict information, object to certain uses, or receive information in a portable format. You can withdraw permission for optional publicity use. This does not affect use that took place lawfully before you withdrew permission. Some records may need to be kept where the law allows or requires it.

To make a request, email gpuk2009@gmail.com or call 07921 861699. You can complain to the Information Commissioner’s Office (ICO).

Young fighters

A parent or guardian must be involved in an under-18 application. The young fighter should have this notice explained in words they understand. A parent or guardian should contact GPUK if they need help understanding how the young person’s information will be used.
